Objective of the Records Coordinator
To ensure an effective, efficient and compliant document information management system operates within Council; Undertake assessment of Council’s record management practices to ensure document management systems represent best practice; Review and update records management procedures in accordance with legislation; Co-ordinate and manage Council’s record system in accordance with the requirements of the Public Records Act 2002 including hard copy records; and Provide overall leadership, advice and direction to drive the use of the electronic document management system (EDRMS) by all personnel across the Cloncurry Shire Council.
Key Responsibilities
The following outlines the key responsibilities of the position, but is not all encompassing:
- Ensure all incoming and outgoing corporate records are registered in Council’s EDRMS and the location of hardcopy documents is tracked
- Responsible for the management of Council’s records, which includes mail, file systems and archives
- To coordinate and assist in all activities associated with the Records Department to ensure smooth running
- Coordinate the operations of the Records function by providing the necessary leadership, advice, guidance, support and direction to all Council Staff
- Collect, collate and distribute statistics relating to information management services
- Undertake training of personnel in the use of Council’s electronic filing software and continuing enhancement of the system to meet the needs of users
